How to Connect ClickBid to Zapier & Fix "No Data Found" Errors

When building your Zaps, you will need sample data. TL;DR - make a sample $1 donation and process the payment as a cash payment within 15 minutes of making your Zap to see the recent sale.

 

This guide walks you through setting up a Zapier integration with ClickBid to automate your event sales data. It also covers the most common issue users face during setup—the "No Data Found" error—and how to solve it by understanding Zapier's historical data limitations.

Step 1: Create Your Zap and Choose a Trigger

  1. Log in to Zapier and click Create Zap.

  2. For the Trigger, search for and select ClickBid.

  3. For the Event, choose Event Sale (or your preferred trigger).

  4. Click Continue.

Step 2: Connect Your ClickBid Account

Zapier will ask for your API Token and Event ID to connect.

  1. Find your Event ID:

    • In ClickBid, look at your event dashboard. The Event ID is often listed at the top or in your event settings (e.g., Event ID 10).

  2. Generate an API Token:

    • In ClickBid, navigate to API Settings.

    • Click Generate Token.

    • Select your Organization or the specific Event ID you want to connect.

    • Name the token (e.g., "Zapier Test") and click Update.

  3. Copy the Token:

    • Triple-click the generated token string to ensure you select the entire code (from the first character to the last, with no extra spaces). Copy it.

  4. Paste into Zapier:

    • Return to the Zapier pop-up window.

    • Paste the API Token and enter your Event ID.

    • Click Connect.

Step 3: Troubleshooting "No Data Found"

When you click Test Trigger, you may receive a message saying "No sales found" or "No data found," even if you know you have past sales in your event.

Why this happens

Zapier integrations are designed to poll for new data. They typically check for activity that occurred within the last 15 to 30 minutes. Zapier generally does not look back at historical data from days or weeks ago.

How to fix it

To verify the connection, you must create a "fresh" sale within the last 30 minutes. You can do this by processing a test transaction using Cash (so no actual money is moved).

Option A: Process a Test Ticket Sale

  1. Go to your Event Landing Page or Ticket Page.

  2. Select a ticket and purchase it as a guest.

  3. Enter dummy information (e.g., "Test User") and a valid email format.

  4. At checkout, select Cash or Check as the payment method.

  5. Submit the order.

Option B: Process a Test Butler Checkout

  1. In ClickBid, go to Butler.

  2. Select a bidder (or create a test bidder).

  3. Add an item to their cart (e.g., a "Fund a Need" donation for $1).

  4. Important: You must Checkout the bidder for the sale to register.

  5. Tap Checkout, select Cash as the payment method, and process the payment.

Step 4: Re-Test the Trigger

  1. Once you have processed a fresh transaction (within the last few minutes), go back to Zapier.

  2. Click Test Trigger again.

  3. Zapier should now find the recent sale record.

  4. Select the record and click Continue with selected record.

Step 5: Finish Your Zap

Now that the trigger is working, you can set up your Action. Common use cases include:

  • Adding the sale to a Google Sheet.

  • Sending a notification via Slack or Email.

  • Adding the donor to a CRM like Salesforce or HubSpot.
