Connecting your Virtuous account to ClickBid allows you to seamlessly sync donor and bidder data, export sales, and map accounts and transaction fields. This guide walks you through setting up the integration and making the most of Virtuous within your ClickBid admin.

⚙️ How to Connect Your Virtuous Account
Locate the Virtuous Event Id and API Key before attempting to connect Virtuous to your ClickBid Integration Dashboard.
Set up the integration

Go to your Event Admin > Integrations > Dashboard.

Locate the Virtuous card and click the Connect button.

In the popup, enter your Virtuous Event Id and API Key.

In Virtuous, go to Dashboard > Events >ID.

Under Dashboard > All Settings> Connectivity> API Keys

If you can’t access the All Settings tab, you'll need admin permissions.
Once connected, the Connect button display “Connected.” A new Virtuous tab will appear in your dashboard for managing imports, exports, and mappings.

đź§ Understanding the Dashboard Options
Under the Virtuous Software dropdown in your dashboard, you’ll find:

🧬 Setting Up Data Mapping
ClickBid supports mapping your event data to specific fields in Virtuous. While it’s best to complete this setup before exporting any data, it is completely optional. You only need to use custom mapping if you want information sent to a field that isn’t already included in our standard mapping.
Default Constituent Field Mappings
- Phone Type: Home (can be changed to work/mobile/other)
- Email Type: Home (can be changed to work/other)
- Contact Type: Household (This can be changed to any of the other available options in your Virtuous account, depending on what you have configured.)
These mappings control where information appears in Virtuous' account profiles.

These settings define where ClickBid sends bidder info in Virtuous profiles.
âž• Create Custom Mapping for Accounts

Click the Create Custom Mapping button.

Choose Virtuous Field Type: Account.

Select a Virtuous Field (custom fields are from Dashboard>Settings > Data Customization > Custom Fields and Collections> Custom Fields).

Select a ClickBid Field (e.g., Bidder Number, Bidder Table Number).

Click Create.

You can add up to 5 custom mappings for accounts.

These will appear in the Contacts profile under More dropdown.
âž• Create Custom Mapping for Transactions

Click the Create Custom Mapping button.

Choose Virtuous Field Type: Transaction.

Select a Virtuous Field (custom fields are from Dashboard>Settings > Data Customization > Custom Fields and Collections> Custom Fields).

Select a ClickBid Field (e.g., Item Name, Item Number, Item FMV).
-
Click Create.
-
You can add up to 4 transaction mappings.

These will appear in the Contacts profile under More dropdown.

đź§Ť Importing Contacts into ClickBid

Go to Integrations > Virtuous Software> Import Bidders tab.
-
Set Show Entries to your preferred number.
-
Check the box next to a name, then click Import.
-
“Imported?” field will show “Not Yet” until completed.
Only import constituents with valid emails or phone numbers so you can contact them via Mass Messaging.
Use the Search bar to find constituents by first or last name.
🔄 Exporting or Updating Bidders in Virtuous
You can export bidders as new contact or link them to existing ones.
To link to an existing Virtuous Contact:

Look up the contact in Virtuous and copy the Contact ID from the URL or next to the contacts name.

Go back to Export/Update Bidders in ClickBid.

Check the bidder’s box, select the correct operation, and click Export/Update.

Use Link to Existing Contact if the donor already exists in Virtuous. Otherwise, choose Add New Contact in Virtuous.
đź’¸ Exporting Sales to Virtuous
You can export:
-
Paid ticket sales
-
Paid Donations (including Text-to-Give)
-
Paid auction items
If you see “Attempt Match,” it means the software is trying to match the record based on last name, email, and phone number. If all three items do not match, you’ll see the “Attempt Match” indicator. Always use the magnifying glass to confirm the correct contact before assigning the sale.
To export sales:

Go to Integrations > Virtuous Software> Export Sales.

Select up to 900 items using the checkboxes.

Under Virtuous Match, click the magnifying glass to search or confirm a match.

Or click the pencil to manually enter a Contact ID.

Click Export Sales at the bottom.

In the Export Sales- Confirmation model choose the 'Receipt Amount'
- Purchase amount minus FMV
- Purchase amount
- Choose the Project as this is a required field.
- Click Export Sales at the bottom

📝Purchase Amount minus FMV is the default setting. For example, if the purchase price is $100 and the FMV is $50, then $50 will be exported when this option is selected.
Purchase Amount will export the full amount the donor paid.
- Export may take 5+ minutes depending on queue time.
🔄 How to Export Your Gift Data to Virtuous
Once you export your gift information from ClickBid, you’ll finish the import process inside Virtuous. Follow the steps below to complete the gift import successfully.
⚙️ Importing Your Gift into Virtuous

Go to your Virtuous Dashboard.

Click Settings.
-
Select Data Management.
-
Click View Gift Transactions.

Under Pending Gifts, find the gift or contact you want to import.

Click Bundle in the top right corner.
-
Enter a Batch Name.
-
Click Save Import.
- After confirming the contact information, click the Import button located in the top right corner of the screen to complete the process.
If the gift belongs to a new contact, be sure to click Create New Contact under the Gift Import area in Virtuous before continuing. Without this step, the import tab will not allow the import.
To locate the item name, price, and fair market value in Virtuous go to Dashboard>Gifts>Premiums
To locate the payment type (credit, check, or cash) in Virtuous, go to Dashboard > Gifts > All Gifts. On the far right, click the three dots and select View. The payment type will be listed under Gift Type.
This information can also be found by navigating to Contacts > [Contact Record] > Gifts. You can also click the three dots menu to view the details.
❌ Troubleshooting Failed Exports
If a sale fails to export:

A red X will appear.

Hover over the red X for the error message.

Check the Activity Log for more details.

You’ll also get an email notification with the reason.
