How to Set Up and Sell Party Book Experiences

Party Book/Sign Up Party events are a great way to raise additional funds by offering guests exclusive experiences like dinners, wine tastings, golf outings, workshops, and VIP events. ClickBid offers two different ways to sell these experiences, depending on your organization's license and how you want to manage registrations.

You can sell Party Book experiences using either:

• The Ticket Page (Full Suite license only) – Best for experiences that require registration and attendee management.
• Quantity Item Sales (Available with Full Suite and Essentials) – Best for simple fixed-price purchases where you only need to track inventory.

Understanding the differences between these options will help you choose the setup that best fits your event.

🎟️ Option 1: Sell Through the Ticket Page (Recommended)

The Ticket Page is the preferred option when your Party Book experience functions like an event registration. Guests purchase tickets before the event, and ClickBid keeps track of who is attending.

1. Navigate to Event Tickets > Modify Tickets.
2. Click Add Ticket.
3. Enter:
   • Ticket Name
   • Description
   • Price
   • Photo (recommended)
4. Set the Quantity Available to the total number of seats/spots available.
5. Save the ticket.

Managing Capacity

As tickets are purchased, ClickBid automatically reduces the remaining inventory.

Once all tickets have been sold:

• Registration/sales for that event automatically close.
• Guests cannot purchase additional tickets.
• No manual inventory updates are required.

🛒 Option 2: Sell as a Quantity Item Sale

A Quantity Item Sale is perfect for Party Book experiences that simply need to sell a limited number of tickets at a fixed price.

Unlike auction items, Quantity Item Sales are not bid on—guests simply purchase the number of tickets they would like while inventory remains available.

How to Set Up a Quantity Item Sale

1. Go to Items > Manage Items.
2. Click Add Item.
3. Select Item Type: Quantity.
4. Enter:
   • Item Name
   • Description
   • Photo
5. Locate the Pricing Options area to set quantity/purchase price options.
6. Enable Limited Quantity if applicable.
7. Enter the Quantity Remaining (or Dollar Amount Remaining if using dollar inventory).
8. Click outside the editing field to save.

👥 Purchasing Multiple Tickets

Whether you're using the Ticket Page or a Quantity Item Sale, guests can purchase multiple tickets (up to the remaining available quantity).

For example:

After every purchase, ClickBid automatically updates the remaining inventory.

📊 Inventory Management

Both methods automatically manage available capacity.

When inventory reaches zero:

• The experience can no longer be purchased.
• Guests cannot exceed the available capacity.
• Manual inventory updates are not required.

• Your organization has an Essentials or Full Suite license.
• You do not need attendee registration or check-in.
• The experience is simply being sold—not registered for.

Recommendation

If you have a Full Suite license and your Party Book experience requires knowing who is attending, the Ticket Page provides the most complete registration and attendee management experience.

If you're using an Essentials license, or simply need a quick way to sell a limited number of tickets without collecting attendee information, a Quantity Item Sale is an excellent solution that is available in both Essentials and Full Suite.
