🎟️ How to Set Up and Sell Raffle Tickets

Raffles can be a fun and effective fundraising tool, but they require the right setup to be compliant, trackable, and smooth for your team and bidders.

⚠️ Legal Reminder: Raffle laws vary by state. Be sure to check your local and state laws before selling raffle tickets.


🧾 Step 1: Set Up Your Raffle Item

Go to Items > Manage Items and add a new item. 

Quantity for Price: Add tiered pricing options:

  • Example:

    • 1 for $50

    • 3 for $100

    • 5 for $150

💡 Tip: If you offer multiple tiers (e.g., 3 for $100), the FMV defaults to the first line’s per-ticket price (e.g., $50).

  • Fair Market Value (FMV):

    FMV must equal the ticket price. The IRS does not consider raffle tickets tax-deductible since there’s a chance to win something.

🛍️ Step 2: Choose a Way to Sell Raffle Tickets

You have three options depending on your event type and goals

🧑‍💻 Option 1: Sell via the Butler (Best for in-person)

  1. Set your raffle item’s Status to Invisible

  2. Go to Event Central > Launch Butler
    Or share the volunteer link from Software Settings > Auction Settings > Butler Settings

  3. Volunteers log into Butler and sell tickets using Add a Bid / Multi-Sale

  4. Distribute physical tickets at time of sale

💡Quantity items can be sold via the Butler even after their closing time.

🔒 To Mark the Raffle as Sold Out:

  • Go to Items > Manage Items

  • Edit the raffle item (green pencil icon)

  • Set Limited? to Yes

  • Set Quantity Remaining to 0

🌐 Option 2: Sell Online (Great for virtual/hybrid events)

  1. Go to Items > Manage Items

  2. Set raffle item Status to Active

  3. Guests can now purchase tickets on their phones or online

🎫Option 3: Sell via the Ticket Page

  1. Go to Manage Items and create your raffle as an item (or confirm it’s already set up).

  2. Navigate to Event Tickets.

  3. Select Ticket Page Settings.

  4. Click Additional Features.

  5. Find the Quantity Items field.

  6. Select one or more items you want to sell on your Ticket Page.

🎫Option 4: Sell via the Ticket Page

Perfect for bundling raffle tickets with event registration.

  1. Go to Event Tickets > Ticket Page > Modify Tickets > Add Underwriting

  2. Enter the following:

    1. Name: Raffle Ticket

    2. Price: Set per-entry cost

    3. Fair Market Value: Match the price

      1. ⚠️ FMV must match to avoid indicating a tax-deductible amount.
    4. Description: Short explanation of the raffle

    5. Availability: Set ticket limit or 0 for unlimited

    6. Hide Availability: Choose Yes to hide how many tickets remain

📄 To View Sales from Ticket Page:

  • Go to Event Tickets > View Ticket Sales

  • Toggle Show All (top-left)

  • Click the arrow next to Underwriting

  • Click the CSV button to download full report


💲 Do I Need FMV on Raffle Tickets?

Yes! Always match the FMV to the ticket price.

ℹ️ Raffle ticket purchases are not tax-deductible per IRS guidelines. Matching FMV ensures ClickBid does not display a deductible amount.


🏆 How to Choose a Raffle Winner

Works for any sales method (Butler, online, or ticket page-excludes underwriting).

🔢 Pulling Entry Data:

  1. Go to Items > Manage Items

  2. Click the Has Bids tag next to your raffle item

  3. Click Download Qty Purchases

Each row = one raffle entry
Multiple entries per buyer = multiple rows

🔍 Pick a Winner:

Use a tool like Google’s Random Number Generator:

  • Set the range based on spreadsheet rows

  • Match the winning number to the corresponding entry

⚠️ If you have multiple raffles, repeat the process separately for each item.

Make it engaging, especially for virtual events:

  • ✉️ Reveal winner from a sealed envelope during a livestream

  • 📢 Post names to your Landing Page

  • 📩 Use Mass Messaging to notify bidders

  • 🌀 Use Wheel of Names for a visual announcement


📊 How to View Raffle Ticket Sales Reports

Find raffle sales in these reports:

  1. Reports > Sales Data > Quantity Sales Data

  2. Reports > Non-Silent Items Report

  3. Reports>Event Sales
  4. Reports> Post Data Event
