Mass Messaging Filters for Bidders & Guests
Mass Messaging Filters help you send targeted text messages and emails to specific groups of bidders, ticket purchasers, guests, and donors. Use these filters to share event updates, remind guests to check in or complete checkout, and follow up with the right people without messaging everyone.
Understanding Mass Messaging Filters
Use the filters available in ClickBid to choose who receives your message. Some filters are available for both text messages and emails, while others are specific to email.
Bidder Filters
- All Bidders: Sends a message to everyone with a bidder number under Bidders > Manage Bidders.
- Bidders With Tag(s): Sends a message to bidders based on the custom tags assigned to them under Bidders > Manage Bidders > Custom Tags.
- Bidders At Table(s): Sends a message to bidders based on their assigned table under Bidders > Manage Bidders.
- Bidders Who Have Logged In: Sends a message to bidders who have logged into the auction site at least once. This includes bidders who registered to bid, logged in through the landing page, or clicked their personal bidding link for the first time.
- Bidders Who Have Not Logged In: Sends a message to bidders who have not yet logged into the auction site using any of the methods listed above.
💡 The Logged In status indicates that a bidder has accessed the auction site for the first time. It does not necessarily mean they are currently logged in.
Ticket and Guest Filters
- Ticket Purchasers: Sends a message to people who purchased tickets.
- Ticketed Guests: Sends a message to all ticketed guests, whether or not they have a bidder number.
- Ticketed Guests No Bidder Number: Sends a message to ticketed guests who have not been assigned a bidder number. This allows you to email or text these guests even if they have not registered as bidders.
💡 If you have multiple ticket pages, you can select one, several, or all ticket pages when using the Ticket Purchasers, Ticketed Guests, and Ticketed Guests No Bidder Number filters. If you have only one ticket page, the ticket page selection checkboxes will not appear.
📝 Using Tags, Tables, and Ticket Page Selections
Some filters offer additional options to help you narrow down your audience.
Bidders With Tag(s)
- Select one tag, multiple tags, or all available tags when the options are displayed.
- Tags are created under Bidders > Manage Bidders > Custom Tags.
- If you have only one custom tag created, the option to select a tag will not appear. The filter will automatically include bidders with that tag.
Bidders At Table(s)
- Select one table, multiple tables, or all available tables when the options are displayed.
- Table assignments are managed under Bidders > Manage Bidders.
Ticket Purchasers, Ticketed Guests, and Ticketed Guests No Bidder Number
- Select the ticket page or pages you want to target when multiple ticket pages are available.
- Choose one, multiple, or all ticket pages.
⚠️ When using Send a Single Text, the message goes to the bidder number you enter, regardless of the tag or table selections. Tag and table selections apply when using Send Text Now or Save to Pre-Composed Texts.
✅ Check-In and Checkout Filters
Use these filters to communicate with guests based on their event attendance and payment status.
- Checked In Bidders: Sends a message to bidders who were checked in through Butler.
- Bidders Not Checked In: Sends a message to bidders who were not checked in through Butler.
- Checked Out Bidders: Sends a message to winning bidders who have completed checkout and paid for their items or donations.
- Bidders Not Checked Out (Silent/Quantity/Raffle/Live/Donation): Sends a message to bidders who still need to pay for winning items, donations, quantity items, or other applicable purchases.
💡 Use the Bidders Not Checked In filter for attendance follow-ups and the Bidders Not Checked Out filter for payment reminders after your event.
💳 Credit Card Filters
Use these filters to identify bidders who may need to add a credit card before completing checkout.
- All Bidders with No Card on File: Sends a message to bidders who do not have a credit card saved to their profile.
- Winning Bidders Not Checked Out & No Card On File: Sends a message specifically to winning bidders who have not completed checkout and do not have a credit card on file. This includes silent auction winners, live auction winners, and quantity purchasers.
⚠️These filters help identify bidders who may need to add a card or complete payment. Having a card on file does not necessarily mean a bidder has completed checkout.
🛍️ Auction, Quantity Item, Raffle, and Donation Filters
Use these filters to follow up with guests based on their bidding or purchasing activity.
- Quantity Item/Raffle Purchasers/Donors/Winning Bidders: Sends a message to anyone who has made a donation through the bidding site, purchased a quantity item, or won a silent auction item, regardless of whether they have checked out.
- Silent and Live Winning Bidders: Sends a message to anyone who won a silent or live auction item.
⚠️ Items must have a status of Closed for the Silent and Live Winning Bidders filter to work correctly.
-
Non-winning Silent Auction Bidders: Sends a message to bidders who placed bids on silent auction items but did not win any silent auction items.
📧 Email-Only Filter
-
Item Donors: Sends an email to donors listed under Items > Manage Donors.
💡 The Item Donors filter is available for email only and cannot be used to send text messages.
🔗 Helping Ticketed Guests Become Bidders
The [bdr] shortcode is available only when using the Ticketed Guests No Bidder Number filter.
This shortcode provides a link that allows guests without a bidder number to convert themselves into bidders.
To send the link:
- Select the Ticketed Guests No Bidder Number filter.
- Compose your text message or email.
- Insert the [bdr] shortcode where you want the link to appear.
- Send the message to the selected guests.
Use the [bdr] shortcode when you want ticketed guests to register as bidders without manually assigning each person a bidder number.
