🔔 Notification Contact & Auto Send Messaging
✅ Summary: The Auto Send feature allows you to schedule texts and emails while adding an extra layer of protection through a Notification Contact. This contact receives advance alerts before messages are sent, giving your team time to review or cancel if needed. Auto-sent messages must follow timing rules, but canceled messages can easily be copied and rescheduled without starting over.
👤 Notification Contact Explained
On this page, you’ll see a tab labeled Notification Contact.
-
The contact listed here will receive:
-
A text message
-
An email notification
-
-
Notifications are sent 10 minutes before the scheduled send time.
-
This gives the contact time to:
-
Review the message
-
Cancel it if needed
-
You can also send a test message to the Notification Contact to confirm they are receiving alerts correctly.
We recommend using an internal staff member as the Notification Contact so someone is always aware of scheduled communications.
📱 Example Notification Alerts
The Notification Contact will receive:
-
A text message reminder that a message is about to send
-
An email notification with the same reminder details
These alerts help prevent messages from sending unintentionally.
✉️ Composing a Message with Auto Send
When composing a text or email:
-
Go to Bidders> Compose a Text or Compose an Email.
-
Locate the Auto Send dropdown.
-
Choose whether the message will be sent automatically or manually.
-
-
You can still manually send messages at any time.
-
Even if Auto Send is set to No, you must select a Desired Send Time so the message can be saved in your composed messages library.
-
⏰ Auto Send Timing Rules
If you choose to auto send a message:
-
Select Yes for Auto Send.
-
Enter a Send Time.
Auto-sent messages must be scheduled at least 10 minutes in the future. Messages cannot be auto-sent sooner than that timeframe.
Auto-sent messages also cannot be scheduled within 10 minutes of each other.
If a message needs to go out sooner, it must be sent manually.
📂 Managing Auto-Sent Messages
Under the Composed Texts/Emails tab:
-
Yellow highlight: Message is set to auto send
-
Gray highlight: Message is not auto sent
-
Canceled messages:
-
Display a cancellation note
-
Show the date and time the message was canceled
-
If you cancel a message but want to send it later, you don’t need to start over.
🔁 Re-Sending a Canceled Message
To resend a canceled message:
-
Click Copy on the canceled message.
-
Set a new Send Time.
-
Choose whether it will be sent automatically or manually.
This creates a new message line, allowing you to keep a record of both the canceled and rescheduled messages.
