Set Quantity Limits per Ticket Type

Setting ticket quantity limits helps prevent overselling and lets you control how many tickets can be purchased in a single transaction.

Set an Overall Guest Limit

You can set an overall guest limit for your ticket page that will factor in all purchases of any type of ticket or sponsorship on your ticket page, and deduct from the available attendee spots remaining. This is helpful in preventing you don't oversell your venue.

  1. Go to Event Tickets > Ticket Page Settings
  2. Click General Settings
  3. Enter a value into the Ticket Page Guest Limit field based on your overall capacity

Set a Quantity Limit per Ticket

If you have only a select number of tables, sponsorships, or individual seats that can be purchased, you can limit the quantity available of each type of ticket.

⚠️ The limit per ticket must be lower than the overall ticket page guest limit, or your tickets will display as sold out.

  1. Go to Event Tickets > Modify Tickets.
  2. Click the edit pencil icon on your ticket.

  3. In the Quantity Available field, enter the total number of tickets you want to offer.

  4. Confirm your quantities are correct on the Modify Tickets page.

Individual, Sponsor, and Underwriting tickets can all have quantity limits.

💡 You can also set an overall guest limit for your event under Event Tickets > Ticket Page Settings > General Settings > Ticket Page Guest Limit. This provides an additional way to control your total event capacity.

Click for more information on the Ticket Page Guest Limit and expected behavior when this limit is in place.

Manually Mark Tickets as Sold Out or Invisible

You can manually mark a ticket as Sold Out or Invisible at any time, even if the available quantity has not been reached.

  1. Go to Event Tickets > Modify Tickets.
  2. Select the ticket you want to update.
  3. Change Mark as Sold Out? to yes, or Visible? to no.
  4. If desired, customize the Sold Out Message that guests will see.
  5. Save your changes.

⏳ Are Tickets Held During Purchase?

No. ClickBid does not reserve or hold tickets while someone is completing the purchase. Tickets are only secured after the buyer clicks Submit.

[Insert Warning Callout here] If multiple people are trying to purchase the last available tickets, the tickets are awarded to the buyer who successfully submits their purchase first. A guest may select tickets during checkout but lose them if another buyer completes their purchase before they click Submit.

⚠️ What Happens When the Quantity Is No Longer Available?

If the number of tickets available changes while someone is completing their purchase, ClickBid will prevent the purchase from exceeding the remaining quantity.

Example:

  • 10 tickets are available.
  • Lisa selects 10 tickets but leaves the page before clicking Submit.
  • Erin selects 2 tickets and completes her purchase.
  • Lisa returns and clicks Submit.
  • ClickBid recognizes that only 8 tickets are now available.
  • Lisa receives a message that her requested quantity cannot be fulfilled and is redirected to the ticket page.

This helps prevent your event from becoming oversold, even when multiple guests are purchasing tickets at the same time.

🔁 Use Multiple Limits to Control Capacity

For the most control over ticket sales, you can use both:

  • Quantity Available — Limits the number of tickets available for a specific ticket type.
  • Ticket Page Guest Limit — Sets an overall guest capacity for the ticket page.

💡 Consider using an overall Ticket Page Guest Limit when your venue has a maximum capacity, and individual Quantity Available limits when you want to control how many tickets can be sold within specific ticket types.
